WVST Parent Meeting and Season Startup October 10, 2013 Civic Center
Attendees-Tony and Eileen Crann, Mark and Marie Gaddas, Sharon Hamilton, parents and swimmers
Coaches and executives introduced to new parents and swimmers
Advised new parents and swimmers -all individual times accessible on swim canada
Everything we use and do is non website
Primary communication is through e-mail and the website
Reviewed meet schedule
1) Premier meets for beginners-novice first time swimmers
2) Invitational-B standards
3) Championship Meets-A standards
Reviewed what we do for fundraising for the year
1) Team Swim-A-Thon is our major fundraiser- $2000 raised last year
2)Partnership program $125-$500, if any parents of new swimmers work for or know of
anyone who does sports sponsorship asked to help out, sponsor gets name on our website
and our banner that goes to meets and there is a 20% reduction of swimmers fee to parents
who get sponsors
Advised new parents and swimmers of the various team events we have through the year
1)Christmas Party
2)Year end party
3)After each meet have award ceremony on deck where swimmers given award and pictures
taken
4)Meet coverage in local newspaper when possible
Stressed parents involvement in officiating if possible - courses available for timing etc.
Course is simple and does not require lot of time-available on website or Tony can provide
them if the information required
Eileen reviewed expectations for new and returning swimmers
1) what equipment is required
2) stressed importance of keeping hydrated so make sure have water bottle at all times
3) Proper goggles are a must
4) Caleb has agreed to assist with coaching as needed
5) caps and t-shirts will be provided
6) track suits may be ordered through Eileen with name and team logo

Minutes September 26, 2013 Meeting 6:30 PM Civic Center
Attendees- Tony Crann, Eileen Saunders, Mark Gaddas, Marie Gaddas, Sharon Hamilton
1.Tony talked to Rhonda and we will be starting the year in good financial shape. Mark to get financial records from Rhonda and get put on as cheque signer since he will be taking the Treasurer position this year
2---Pool is scheduled to open October 14th. Tony will send another notice to he parents.
3---Need to review meet schedule to see number of swimmers and availabilty of coaches. Team needs 5 swimmers attending meets to support Coach attendance. When less swimmers are going Coach will make arrangements for the swimmers to attend with Fast. It is not expected that this will happen often.
4---Fee schedule approved is the same as previous year and is on website.
5---Marta will still be helping out once we get started and will provide Eileen with her coaching plan for the week so we can better design our plans and goals. Marta to come up every 4-5 weeks to see how coaches and swimmers are doing. We have program and group definintion developed that will be reviewed at the parent meeting.
6---Mark has taken over as Treasurer and Tony us doing the Team Manager position until we get another person signed up.
7---Want to do Swim-A-Thon again this year it is a good fundraiser, made $2000 last year and should be able to do same this year. Will discuss at a later date any other fundraising ideas.
8---Tony hoped to get $500 sponsorship again from Day & Ross and when have parent/swimmers meeting may be possible to get some additional sponsors
9---Need to review meet schedule, see who is available to swim and coach. Eileen will review at the Coahes meeting
10--It was agreed that Caleb will take the coaches training in Fredericton. Marie and Pascal to do what is needed to finish their levels. Tony has been talking to Jeff at high school to see if can get high school team to swim on some of our nights and Jeff could also help with coaching on evenings he would be there. Jeff will check his schedule and advise
11--Tony went to strategic planning session last Saturday and Sunday and week before went to officials meeting.
12--There are some grants available-Eileen to look into and see what is needed to get them
13--Plan to have another LTAD session this fall again -grant is still available to cover costs
14--We are insured as a club and lawyers think we should also be incorporated - Mark to look after
15--Tony to place order for swim caps and will order T-Shirts when have parent meeting to get sizes.
16--Tony to look into what we can do for Sports Day to involve the community and anyone interested in participating
We will not know the final number of swimmers until water is back in pool. Some swimmers have not registered yet -will know more when have parent meeting and swimmers are actually back in the pool

Minutes WVST Executive meeting April 29th 2013 6:30 at Civic Center
In attendance : Tony Crann, Eileen Saunders, Sharon Hamilton, Shelley Palmer, Marie Gaddas, Mark Gaddas
1) No treasurers Report Rhonda could not make the meeting. Team is in good financial position. I will email a copy and we can discuss at the next meeting. Tony also asked Rhonda to email parents the balances for the end of the season
2) Swim A Thon fundraiser was best year yet for funds raised $1920-Special thanks to beginners who raised over $1000
3) Discussed having a Fun Meet(None Swim Canada Sanctioned) possibly first week of June in conjunction with the Civic Centre. This was voted on and passed Tony will confirm with the Civic center and advise the parents. Club will use this for awareness of our swim Team and attracting new swimmers.Local area swimmers will be invited-Hartland, Nackawic,Florenceville-Bristol etc. Good publicity for club for the fall season.
4)Beginners will be done for the season May 8th and youth at end of May.
5)Once again Tony and Eileen will be hosting the year end party at their home. Fun time for all-
more information will be sent out when date decided. Year end awards will be given out at that time. Costs for the awards $400-$500. Tony will order the awards
6) Marta Belsh (Head Coach Fast and Canada Games Coach from Fredericton will be our mentor Coach forthe coming season.We will do a 2 hr program with our swimmers after the Canada Games trials to do an assessment and plans to come up every 4-5 weeks to oversee how things are coming along, She is also willing to come up and do some stroke clinics with Fast swimmers and Coachs. Posible dates for the initial meeting June 2nd or June 9th Tony will confirm.
7) Tony will firm up the dates We will try to co-ordinate the LTAD meeting with swimmers and parents while Marta is here. This is a requirement for the funds we received form Carleton North grant. Tony to let us know more when gets the date.
8)Will discuss the open executive positions in the fall when know who will be coming back and
how many swimmers we will have.
9) Discuss other parents learning the jobs so could be trained in the event someone else has to take over the position.
10)Canada Games entrants may be eligible for some help with costs re a government program-Eileen will check into and let them know.
11) We are still going to continue looking for coaches for the 2013-2014 season.
12)Go grants applications are available again this year . Eileen will prepare the application.

Minutes January 17, 2013 Meeting

1. Discussed financials year to date and seem to be in good shape
2. Can't do meet in May due to unavilability of rooms available so going to try for April 21st , Eileen to see about availability of pool and rooms needed for that date.
3. Eileen to arrange date for Swim-A-Thon and arrange for community room for small party afterwards
4. Coaching- Todd feels that things are going well and the kids are really engaged in what they are doing
Eileen says not a lot of the beginners want to compete in the winter-what to do summer competition instead. Eileen to contact Kent Kuhn re the rule of winter vs summer competions.
5. Need to find out which coach can do Edmunston meet if have some "B" swimmers going. If one of the parents of a swimmer is not a coach we need to pay expenses for a coach. Made a proposal to pay coach
$50 day plus expenses and this was agreed upon by all in attendance.
6. Eileen to firm up date with Marta for the LTAD parent session for the end of February and will use this session for the Carleton North Grant by providing information, cost, pictures and publicity. Going to do up a brochure for the bulletin board, put on website and media board in lobby.
7. Tony needs a list of names of who would be available to time at the Moncton meet and for which session.
