1) Budget and financial results postponed until next meeting as Rhonda unable to attend
2) Tony to talk to Marta Bell on weekend re LTAD grant to bring in a speaker to talk to coaches,parents and swimmers and get format for meeting. Would like to schedue for December if possible
3) Need to submit letter and invoice to Carleton North for coaches training last season so can get grant money
4) Tony to discuss with Randy about his coaching plans for next year and if he will be coming back as head coach or in another capacity. Would like to get resolved by end of year so can see if need to plan to make new coaching plan for following year
5) Shelley to check with bowling alley to get booking in December for the Christmas Party
6) Mark to take over as meet manager which involves meet package/planning/officials training and computer operator. Will need to start first of year to get ready for May meet
7) Fund raising will be discussed at next meeting after Tony meets with Rhonda to discuss budget. Need to come up with some ideas to raise additional funds for the club
8)Tony met with Ken Harding today and is planning another meeting next week with Ken and Kelly re pool issues
9) Swim Canada will be sending out new rules and regulations re coaches. Needs to be reviewed to determine if and what we need to do regarding our present coaches and any new coaches
10 )Long course record names- Tony talked to Matthew and he can cut our cost by almost half if we can return the metal strips so can be refaced again with name
11) Club has raised $1800 in sponsorships from Palmer Ins/Day and Ross/Sno-Kist and Peter Crocco

Minutes WVST Meeting September 10, 2012 6:30 PM
In attendance: Denise O'brien, Sharon Hamilton, Steven Gartley, Kylie Gartley, Eileen Saunders, Randy McDougall, Todd Saunders, Shelley Palmer, Eric Rowley, Tony Crann, Mark Gaddas, Marie Gaddasm Alison Tompkins
1) Several of the Coached indicated they would look at going the High Five Sport Workshop on September 29, 2012. Tony will confirm the time and the attendance with Kent Kuhn
2) The meet list was discussed with the group Randy and Eileen will prepare a list of the recommended meets for the swimmers now until Christmas by the end of the week
3) Fee schedule reviewed and approved for the new year with just $2.00 Swim Canada increase
4) The Meet Manager and Team Manager programs where discussed and will be upgraded to the latest versions
5) Discussed the $1500 grant the club received and the Carleton North Grant
6) There is a discussion about the issue with the Swim a thin receipts. Tony will call Pat Ketterling from swim NB and find out what the issue is. This needs to be resolved as soon as possible.
7) We discussed updating the record boards Randy and Tony will both get a quote on the updating without having to change the magnets it should be alot cheaper
8) It was decided that after registration that we will create and budget and determine how much find raising we need to do. We will add into the budget some coach travel expenses because of the split meets and a cost share with the civic center for the lane markers. Total cost is about $3600
9) The civic center has confirmed the new schedule for the Team and same as last year with the addition of the Sunday 3:30 to 5 PM and the Wednesday night 7 to 8:30 for the beginner group
10) registration is September 19th and I asked the parents to bring there completed forms and be signed up so we can do our planning
11) Tony will send out a list of the jobs available on the board with description of duties, the existing Board members , whether they plan on re offering. Election of officers will be September 27, 2012
12) New season will start September 27, 2012 all swimmers will come in for the meeting after registration on Sept 19 we will send out the new member instructions.

1) Tony Called the meeting to order
2) Tony notes that many people where away so we would not try to do the complete agenda. We would just review some Coaching items for the new season and post pone the rest of the items for the next meeting after school starts
3) Rhonda provided a financial update. We had a deficit of about $2400 for the season and had to draw on funds form the bank account. After registration is complete and we complete will determine what is needed for fundraising for the new season. We current have a positive cash balance going into the new season. Tony also commented that because of the records board and the lobby Logo expense were about $2000 higher then normal
4) Randy gave a Coaching update. The season in lining up for three 12 week training sessions for the Senior group. The intention is to keep the same overall hours schedule. Randy indicated he would bring the senior swimmers back mid September to start some pre season dry land.
5) There is alot of interest in the beginner group and we will add back one hour Wednesday and Sunday and then alternate the other hour with split groups.
6) Tony asked all the potential new and returning Coached to get their criminal records check this needs to be done yearly. Eileen and Marie will handle the beginner group and Todd and Randy will handle the youth and Senior groups. This will have to include meet coverage for these groups that can be split across the province.
7)Randy review the meet schedule that is posted under the quick reference on the website. Randy also suggested the Team May want to go to the youth cup in Toronto in December this will be tabled at the next meeting.
8) Randy indicated that he wanted any new swimmers to the Senior Group to have a discussion with him before registration. This will include swimmers moving up and group and new swimmers.
9) It was discussed that this will be and intensive year due to the Canada Games Trails and Camps.

1) Rhonda gave a financial update and we have sufficient funds for the season. There are some receivables Tony Tony will send a note to remind everyone
2)Reviewed the meet list for the new season and it was agreed that WVST with bid on one meet for the next season Premier only
3)Reviewed Carleton North grant and it looks like we will get waiting for formal notification
4)It was discussed sending a letter to all the parents on swim lessons and other recruiting efforts. as yet we have not parent assigned to this and are not getting alot of proactive steps to build up the membership
5)Discussed the only fu nd raising for the swaim a thon and Tony will send out the information
6)Discussed the Coaching 101 and the potential canidates. Will try to send two people
7)Discussed fun meet in the late spring but no ownership assigned so nothing moving forward on this front
8)NB grants are avallable and Tony will ask Eileen to complete the application
9)Discussed the Sobeys barbecue and decided to pass for this year

2) The Top 10 Camp and Annual SNB awards banquet was discussed. Most of our senior and Youth swimmers qualify for the Top 10 Camp. We are recommending as many people as possible attend the banquet in Sackville. Tony to send the sign up details to the parents
3) The AGM for swim NB is in Sackville on June 9 Tony will attend representing the Club
4) The year end awards and party was discussed. It was decided that the year end awards will be based on the top 4 swims per swimmer based on the short course season Sept 1, 2012 to April 15, 2012 the Marianne Limpert. We will do Long course awards in the Fall when the swimmers return. Eric agreed to prepare the analysis for the awards
5) The year end party and awards will be at the Crann residence on June 15th more details to follow.
6) It was discussed that there potentially needs to be chaperones in the girls change room. It was decided that this was something the parents should organize if they felt it was necessary. Just popping in and checking if your swimmer is ready may be best
7) Randy provided a Coaching update. We have one swimmer that has make age group times and two more that are very close to national times. The remainder of the season will be for swimmers with or working towards East Coast or National times. There are three meets in June that Randy would like to see all this group of swimmers attend because those times may be used for Canada Games selection.
8) The was discussion around the swim a thon receipts. Tony will ask Rhonda to check with Swim NB to see if we are missing something that affecting the receipts.
9)The season end dates were finalized for the beginners and youth not working towards East Coast long course as May 10th
10) Mark and Marie Gaddas have signed up for the Coach training level 1 in Sackville May 18th weekend. Thank you Mark and Marie. The Team with support covering the expenses for this training
11) The Carleton North Grant award of $2500 was discussed and some ideas for use. Tony asked Randy to review with the Coaching staff and come back with a proposal focused on the training and across all groups.

1) Meeting was called to order at 6:35 p.m.

5) The Christmas party will be held Monday, December 19th at 6:30 p.m. at the Bowlacade. Tony will get a count of the number of attendees, so we can arrange for pizzas and other supplies.
Coaches will organize bowling teams and prizes will be awarded to bowlers.
6) Coaching update:
- beginner program is down one swimmer – we will place an ad in the local paper for January start-up
- December 22nd is the last practice before Christmas break and practices begin the week of January 8th
- We have been invited to participate in some extended practices with FAST, consisting of dry land and pool practices. Randy will confirm who is eligible to attend and the possible dates for travelling to Fredericton
- January 7th – Canada Games camp in Moncton
- January 21st and 22nd – Team NB try meet
7) Tony attended the Swim NB AGM on November 26th – information will follow on the new structure
8) Marie Gaddas was nominated and accepted the position of VP on the WVST executive.
9) Anna spoke to the need for our club to participate in meets as officials. Courses are available online. Volunteers are encouraged to participate and request evaluations from meet coordinators. There is an “officials” contact person in each meet package.
Diane Foreman is willing to put on a stroke and turn course in January for all those interested in this training.
10) Verify that WVST relay teams are included in Swim Canada rankings.
